1. About this policy
This Privacy Policy ("Policy") describes how Snow Maids LLC, a Colorado limited liability company ("Snow Maids", "we", "our", or "us"), collects, uses, discloses, and protects personal information when you visit snowmaids.com (the "Site"), book a consultation, communicate with us, or use our residential and light-commercial cleaning services (the "Services"). This Policy is written for United States residents; the Site is operated from and intended for use in the United States. By using the Site or the Services, you acknowledge the practices described here.

2. What we collect
2.1 Information you provide directly
- Contact and form data — name, email address, phone number, service address, city, and ZIP code, submitted through our contact and consultation forms, by phone or text, or by email.
- Service details — home or office size, rooms, pets, cleaning frequency, access instructions, special-care surfaces, and other details you share so we can scope and perform your service correctly.
- Communications — the content of emails, texts, voicemails, form submissions, chat messages, and reviews you send us, and your marketing preferences.
2.2 Online booking (HouseCall Pro)
When you book online, your booking is processed by HouseCall Pro, the scheduling software we use to run our business. HouseCall Pro collects and stores your name, contact information, service address, appointment details, and — if you pay through it — payment information handled under its own terms and privacy policy. Snow Maids accesses this data solely to schedule, perform, bill, and follow up on your Services.
2.3 Calls — tracking and recording disclosure
Phone numbers published on the Site or in our advertising may use call-tracking technology, which logs the number you called from, the number you dialed, and the call's time, duration, and source (for example, which ad or page led to your call). Calls may be recorded or monitored for quality assurance, training, and accurate record-keeping of quotes and service instructions; where notice is required, you will hear it at the start of the call. If you prefer not to be recorded, tell us at the start of the call and we will accommodate you where feasible, or you can contact us by email instead.
2.4 Information collected automatically
- Device and usage data — IP address, browser type, operating system, referring URL, pages viewed, time on page, and general (city-level) location inferred from your IP.
- Cookies and similar technologies — see Section 5.
- Analytics data — aggregated measurements of how visitors find and use the Site, collected through analytics services.
3. How we use information
- Respond to consultation requests and schedule, perform, and bill for Services.
- Send booking confirmations, appointment reminders, arrival updates, and follow-ups.
- Send marketing emails or texts about promotions and news — only with the appropriate consent, and only until you opt out.
- Verify service quality, investigate guarantee or damage claims, and maintain accurate records of quotes and service instructions (including call recordings).
- Measure and improve the Site, our content, our advertising, and our Services.
- Detect, prevent, and respond to fraud, abuse, and security issues.
- Comply with legal obligations, respond to lawful requests, and enforce our Terms & Conditions.
4. Who we share information with
We never sell your personal information. We share it only with service providers who help us run the business, under terms that limit their use of your information to the services they perform for us:
- Scheduling and field-service software — HouseCall Pro, which powers online booking, dispatch, invoicing, and customer records.
- Website hosting and content delivery — the static-site host and CDN that serve this Site.
- Form routing, email, and SMS providers — platforms that deliver your form submissions to our team and send the confirmations, reminders, and messages you request.
- Analytics providers — services that help us measure site usage and marketing performance.
- Marketing platforms — advertising and marketing tools we use to reach customers, limited to measuring and operating our own campaigns.
- Call handling and call tracking — the provider that connects, logs, and (where enabled) records calls as described in Section 2.3.
- Payment processors — if you pay by card, the processor handles your card data directly under its own terms; Snow Maids does not store full card numbers.
We may also disclose information when required by law or legal process, to protect the rights, safety, or property of Snow Maids, our team, or others, or as part of a business transaction such as a merger or sale of the business (in which case this Policy continues to apply to your information until updated). We do not authorize any vendor to use your information for its own marketing.
5. Cookies and tracking technologies
We and our service providers use cookies, pixels, and similar technologies. Because we are a service business that depends on knowing which calls, forms, and pages actually produce bookings, we treat the following as essential to operating the Services, not optional add-ons:
- Strictly necessary cookies — required for the Site to function, such as routing your form submission or remembering a dismissed banner.
- Analytics and measurement — essential to service operations. Analytics tells us which pages work, where visitors get stuck, and where our booked customers come from, which is how we staff teams and plan service areas.
- Call tracking — essential to service operations. Call tracking is how we attribute your call to the right team member, keep accurate records of quotes and instructions, and answer the phone knowing why you called.
You can still control cookies through your browser settings (blocking, deleting, or receiving alerts about cookies), and the Site remains usable with cookies restricted — though some features may not work as smoothly. Where advertising cookies are used, they are gated by our cookie-consent banner where your state requires it, and we honor the Global Privacy Control (GPC) signal as a valid opt-out where state law gives it that effect.
6. Data retention
We keep personal information only as long as we need it for the purposes described in this Policy, or as the law requires:
- Customer service records (scopes of work, invoices, scheduling history) — up to seven (7) years for tax, accounting, insurance, and dispute purposes.
- Prospects who never become customers — until you opt out or the information is no longer needed, then deleted.
- Call recordings — retained for a limited operational window, then deleted unless attached to an open quote, claim, or dispute.
- Analytics data — retained per the analytics platform's configured retention window.
- Opt-out lists — retained indefinitely so we never re-contact you by mistake.
7. Security
We use reasonable administrative, technical, and physical safeguards to protect personal information: the Site is served over HTTPS, form data travels over encrypted channels, and access to customer records is limited to team members who need it to serve you. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. If you believe your information has been compromised, contact us immediately at office@snowmaids.com.
8. Children
The Site and Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, contact us at office@snowmaids.com and we will delete it.
9. Your state privacy rights
Snow Maids is a Colorado business, so the Colorado Privacy Act (CPA) is the primary law governing these rights for most of our customers. We also honor analogous rights for residents of California (CCPA/CPRA), Virginia, Connecticut, Texas, and other states with comparable consumer-privacy laws. Regardless of your state, you may ask us to:
- Access — confirm whether we process your personal information and give you a copy of it.
- Correct — fix inaccurate information we hold about you.
- Delete — delete your personal information, subject to legal exceptions (for example, invoices and tax records we must keep).
- Port — receive your information in a portable format.
- Opt out — opt out of the sale of personal information, targeted advertising, and certain profiling. (As stated in Section 10, we do not sell personal information.)
- Appeal — if we deny a request, appeal that decision; we will respond to the appeal and, if it is denied, tell you how to contact your state attorney general.
How to exercise these rights: email office@snowmaids.com with the subject "Privacy Rights Request", or call (720) 303-5383. We will verify your identity by matching the information in your request against what we already hold, and respond within 45 days (extendable once where the law allows). We will never discriminate against you for exercising a privacy right.
10. We do not sell your personal information
Snow Maids does not sell personal information and has not sold personal information in the preceding twelve (12) months, as "sell" is defined under the CCPA/CPRA, the Colorado Privacy Act, and similar laws. If our practices ever change, we will update this Policy first and provide the opt-out mechanisms those laws require before any sale or sharing occurs.
11. Third-party links
The Site links to third-party sites and services (for example, our Facebook page, Google Business Profile, review platforms, and the HouseCall Pro booking window). Those services have their own privacy practices, and we are not responsible for their content or how they handle your information.
12. Changes to this Policy
We may update this Policy from time to time. When we do, we will post the revised Policy here with a new "Effective" date at the top. If we make material changes — for example, new categories of data or new uses — we will provide additional notice on the Site and, where required by law, by email.
